Part-Time Administrative Coordinator (Full Time Option)
The Biscayne Bay Marine Health Coalition (BBMHC) is a collaborative alliance of nonprofits, researchers, community groups, and partners working to restore and protect Biscayne Bay and its watershed. Since our first summit in 2016, we’ve brought together hundreds of stakeholders, advanced advocacy, and built momentum for real solutions.
We are seeking an enthusiastic, organized, and mission-driven Administrative Coordinator to support our coalition operations, help deliver our 2026 Biscayne Bay Marine Health Summit, and drive ongoing community engagement programs. This is a unique opportunity to make a direct impact on Biscayne Bay recovery while developing your skills in nonprofit management, events, and advocacy.
Key Responsibilities
Event Coordination
● Support planning and execution of the 2026 Biscayne Bay Marine Health Summit (and related convenings): timelines, programming, registration, vendor coordination, speaker liaison, and volunteer coordination.
● Assist with periodic working group calls and biweekly steering committee meetings: agendas, logistics, and follow-up.
Communications & Outreach
● Run BBMHC social media: build a content calendar; draft, schedule, and post updates; track basic analytics; coordinate with partners on cross-promotion.
● Create periodic newsletters with updates from coalition partners.
● Manage BBMHC email communications: monitor coalition inbox, draft responses, maintain listserv, and update templates.
● Maintain and update the BBMHC website (www.restorebiscaynebay.org).
● Lead the Biscayne Bay Advocates Call.
Coalition & Administrative Support
● Assist Co-Chairs and Steering Committee with administrative tasks.
● Maintain shared Google Drive and online resources.
● Support sponsorship outreach: maintain prospect list, draft proposals, track commitments, and coordinate sponsor benefits.
● Assist with budget planning and basic expense/revenue tracking.
Requirements
Required
● Ability to work ~20 hours/week during business hours (ramping to ~30 hours/week leading up to the May 2026 Summit).
● Strong organizational, time-management, and communication skills.
● Proficiency with Microsoft Office, Google Workspace, Zoom, and Canva.
● Experience coordinating events, conferences, or summits.
● Experience managing social media accounts for an organization or campaign.
● Professional, collaborative demeanor and attention to detail.
● Passion for protecting Biscayne Bay and South Florida’s marine ecosystems.
Preferred
● Experience with sponsorship coordination or fundraising support.
● Familiarity with website content management systems (CMS).
● CRM/list management or basic bookkeeping experience.
● Bilingual (Spanish/English).
● Familiarity with Miami-Dade community and environmental landscape.
Compensation
● $25–$30/hour, paid biweekly.
● ~20 hrs/week (ramping to ~30 hrs/week near the Summit).
● Additional percentage-based pay available for securing unique sponsors.
● Growth potential: Our fiscal sponsor (VolunteerCleanup.Org) may also need part-time support for related outreach activities, creating the option for a combined full-time role. Please indicate if you’re interested in a full-time opportunity.
